student achievement and teacher development.Position
Summary:FirstLine Schools is looking for strong candidates for the
role of School Operations & Technology Manager for one of our K-8
schools. The School Operations & Technology Manager is responsible
for operations, financial administration, facilities & IT, and team
management. SOMs must be highly efficient across varied functions
as the job encompasses large-scale project management (i.e.
school-wide event management) as well as detail-oriented accuracy
(i.e. compliance and finance reports). The SOM must be a highly
effective team leader, motivating and influencing his/her team to
consistently deliver high quality results as well as devising
systems and procedures to increase productivity across all staff
and all functions.Position Responsibilities:Facilities
Management
- Coordinates the logistics of construction warranties and
capital improvements, as needed.
- Maintains asset inventory of all capital items and building
system equipment.
- Maintains school facility compliance with state and local code
requirements.
- Ensures compliance with emergency preparedness by managing the
school's crisis plan and coordinating consistent, effective
practice of fire drills and lockdown procedures.
- Manages school-site security, including key control, alarm code
access, and security perimeter.
- Acts as local manager for facilities maintenance, custodial,
security, and other third party service contracts, ensuring ongoing
monitoring and implementation of contracts.Financial Administration
- Provides site-based support in preparation for year-end audits
as well as any site audits from state or federal agencies in
coordination with FirstLine network staff.
- Provides financial oversight and ensures school-wide proper
adherence to financial policies and procedures.
- Follows fiscal policies regarding procurement and vendor
payments, including the appropriate completion of purchase orders
and approval of vendor invoices.
- Manages and reconciles school's petty cash, credit cards, and
checkbook.School Logistics
- Supports all operational and logistical projects for
school.
- Responsible for site-level procurement of supplies, materials,
equipment, and inventory management.
- Serves as the local manager for third party service contracts,
ensuring ongoing monitoring and implementation of contracts.
- Responds to and resolves routine internal and external
inquiries with parents, employees, and school organizations.
- Supports planning and implementation of emergency plan as
needed.Event Management
- Coordinates logistics for school field trips, staff events,
school events, PBIS events and extra-curricular activities, Pre-K,
Kindergarten and Eighth Grade Promotional Exercises.
- Collects money for field trips, counts money and submits to
finance team at network.
- Provides coordination and support for internal and external
events at the school site, including after-hours events and
facilities use agreements.
- Acts as part of Network Operations team to support
set-up/break-down for network-wide PD events.
- Produces and disseminates staff and family
communications.Information Technology
- Coordinates technology implementation/deployment (planning,
procurement, and training) with FirstLine's Director of Information
Technology.
- Software Support - understands software
functionality/compatibility and ability to identify the right
software solution for each situation.
- Performs minor computer repairs such as screen/keyboard/battery
replacements.
- Leads audio and visual equipment usage for the building.
- Responsible for utilizing and exporting video surveillance
footage as needed.
- Seeks out and expands skill-set to gain greater troubleshooting
skills.Transportation
- Manages school bus routes and rosters, increasing efficiency
and ensuring accurate data from all transportation systems.
- Manages communication with transportation service provider(s),
troubleshooting issues with buses or riders on a daily basis, and
ensuring appropriate quality and timeliness.
- Supervises arrival and departure of school buses in a timely
and orderly manner.School Food Services
- Manages communication with food services, ensuring appropriate
quality and timeliness, supporting compliance and troubleshooting
issues.
- Establishes a weekly check-in meeting keeping the caf-- lead
abreast of all upcoming events and needs of the school.Data
- Works with school personnel and FirstLine network personnel to
maintain integrity and accuracy of student records, including
maintenance and tracking of attendance and retention.
- Prepares reports on site operations as requested by school or
network staff.
- Facilitates surveys for staff, students and parents.Enrollment
and Recruitment
- Serves on enrollment team at school site and, as required,
leads the enrollment process by working with the school leadership,
secretaries, teachers, and central enrollment
department/advertising to meet enrollment targets.
- Assists with recruitment campaign for students (e.g., new
students, intent to attend, waiting lists) including engagement in
local marketing initiatives, demographic analysis, and coordination
with local/regional communications specialists.Team Management
- Provides support and break and lunch relief of FOA at front
desk.
- Manages day to day activities of designated non-instructional
staff, at the discretion of the school leader.
- Supervises development of professional growth plans and
training for designated non-instructional staff.
- Cooperates with network staff to track employee information
including new hire paperwork, contact information, compensation,
vacation/sick days, recruitment screening, background checks,
etc.
- Serves as a member of the school leadership team.Risk
Management
- Serves as a member of the school crisis team, working with the
School Director to ensure all reports are completed and any
necessary changes to policies and procedures are made.
- Works as school liaison for any Workman's Compensation issues
due to staff workplace injury.
- Conducts regular walkthroughs to mitigate any facilities-based
issues, working with the maintenance team and/or outside
contractors, as necessary.RequirementsEducation & Experience:
- Bachelor's or higher degree.
- 2-5 years in nonprofit management, facilities management or
school operations management preferred.
- 1-2 years in IT Tier 1 Technical Support/Help Desk Technician
preferred.
- Dedication to the FirstLine mission and vision for open
admissions education.
- Demonstrated record of exceptional organizational, analytical
and communication skills.
- Demonstrated ability to work effectively with a diverse
population of stakeholders.
- Comfortable with database management.
- Highly proficient in Microsoft programs and with the Google
Apps for Education Suite.
- Ability to do basic facilities problem-solving and minor fixes
(preferred).Desired Qualities & Characteristics:
- Knowledge of working with the administrative side of a Google
Apps environment and familiarity with Active Directory for user
curation.
- Knowledge of working with the following operating systems:
Windows 10, macOS, Chrome OS, Windows Server 2012r2, Windows Server
2016 and Windows Server 2019.
- Knowledge of networking theory and implementation for local
area networks.
- Knowledge of working with audio and visual equipment.
